Executive Director Position
Position summary:
The Executive Director of the Greater St Cloud Public Safety Foundation (GSCPSF) reports to the Board Chair and is responsible for the day-to-day operations of the Foundation. This position is an independent contractor position. The expected average time commitment for this position is part-time.
Responsibilities include:
Working closely with the Development Committee Chair to plan and execute a Development Plan for the Foundation that assures annual budget income needs are met. Actively develop funds for the Foundation on a continuing basis. Responsible for cultivating and maintaining donor relationships.
Identifying and applying for local or national grants that align with the mission of the Foundation.
Maintaining the administrative records of the Foundation. Working with Foundation Treasurer, Finance Committee and contract accounting firm to ensure the Foundation is maintaining its good standing with donors, vendors and taxing and regulatory bodies to include:
1. Tracking and coding monthly income and expenses
2. Providing quarterly financial statements to the Treasurer
3. Tracking and reporting on all grants awarded to the Foundation
4. Tracking and reporting on all donations to the Foundation
5. Providing donation acknowledgements to donors
6. Maintaining current and accurate data in the donor relationship management system
7. Using the donor management system to ensure the efficiency of development processes
8. Storing select documents in a secure online location that can be accessed by select members of the board of directors
9. Providing information for the annual 990 Federal Tax Return
10. Completing the annual Minnesota Charitable Organizations Annual Report to State Attorney General
11. Completing the Foundation’s annual Registration with Secretary of State
12. Maintaining legal documents
Leading the planning, organizing and scheduling and execution of development calls and fundraising activities. Developing self-initiated donor activities.
Representing the Foundation with media outlets.
Planning and executing events held by the Foundation for fund raising, community engagement and/or public relations.
Assisting the volunteer board of directors with administrative duties to ensure the work of the Foundation board and its committees is efficient and effective.
Leading the planning and execution of the Foundation’s annual First Responder Appreciation Event.
Working with the Board Chair to plan and record agendas for board meetings, and keeping and publishing the official minutes of the meetings.
Attending board meetings and select committee meetings to support the activities of the Foundation.
Working closely with the Marketing Committee Chair to plan and execute a Marketing and Communications Plan for the Foundation. Leading the planning, organizing and scheduling of marketing and communications activities.
Working as a liaison with our Law Enforcement, Fire and EMS partners to ensure effective communications and administration of Foundation activities.
Tracking and reporting incoming and outgoing expenditures for committees and special projects. Providing budget updates for special projects.
Monitoring vendor and tenant contracts and leases to ensure appropriate notifications are met; reporting to the Board as applicable.
Acting as the Foundation liaison for communication with and reporting from the Community Foundation.
Working with Scholarship Committee Chair to promote and evaluate applications, and award annual scholarships.
Monitoring, receiving and processing mail for the Foundation.
Conducting banking functions for the Foundation.
